Preview: Billing for Advantage Platform 202605.1.0 Release Notes

In these release notes, you can find enhancements and fixed and known issues for the Billing 202605.1.0 release. For documentation updates, see What's New in Billing Documentation.

Note:

This documentation may describe optional enhancements for which you have not purchased a license; therefore your solution or implementation may differ from what is described here. Contact your customer success manager (CSM) or account executive (AE) to discuss your specific enhancements and licensing.

Enhancements

The following enhancements are new to Billing in this release.

Invoice Creation Requests List View UI

The Invoice Creation Requests page displays a paginated list of all requests with key details such as request name, request type, status, and frequency. Administrators can also create new invoice request using the Create New Request button on this page.

Ability to Clone an Invoice Creation Request

Finance analysts and administrators can now clone an Invoice Creation Request from its detail page using the Clone button. The cloned request copies all fields except auto number fields, Status, and user details, and opens in editable draft mode for further modifications.

Ability to Edit an Invoice Creation Request

Finance analysts and administrators can now edit Invoice Creation Requests in Draft status before submission. Editing a draft invoice request allows to correct errors, update billing details, or add missing information before the invoice creation request is finalized. User Details and Auto Number fields remain non-editable, and requests cannot be edited after submission or scheduling.

Invoice Creation Requests Results and Details View UI

The Invoice Creation Request Results screen displays the outcome of an executed Invoice Creation Request. After an invoice creation request completes processing, this screen shows the generated request result, its status, and the summarized records related with this request.

The Invoice Creation Request's Result Details screen provides a complete summary of a single invoice creation request. It displays the request's identification details, current processing status, and a breakdown of the invoices and credit memos generated as a result of the request.

Enhanced the Invoice Request API to Create Credit Memos from Invoice Run Request

Based on the value of the field, Credit Memo Creation Option, the Invoice Request API supports generating credit memos with following two options:
  • One Per Negative Billing Schedule : The system generates one credit memo per negative billing schedule.
  • One Per All Relevant Negative Schedules: The system generates one consolidated credit memo for all applicable negative billing schedules.

Invoice List View UI

A new Invoice List view has been introduced, displaying a comprehensive, paginated grid of invoices with key details such as invoice number, invoice date, bill‑to, ship‑to, total amount, and approved status. From this view, users can efficiently review invoices, track payment progress, and understand the complete financial lifecycle of each invoice. An eye icon allows users to preview up to five invoice line items in a table, with a View All option that navigates to the Invoice Line item table under the "Related" tab of Invoice Detail page. Users can also click an invoice link to open it in a separate tab for detailed viewing.

Invoice Detail View

A new Invoice Detail page has been introduced, offering a single, consolidated view of invoice information through a three‑tab layout: Summary, Details, and Related. These tabs present balance information, price breakdowns, transaction details, and additional invoice metadata such as customer information and payment terms, along with the invoice line items associated with the invoice.

Invoice Approval API

The Invoice Approval API enables finance analysts to approve one or multiple invoices with statuses in Draft or Pending Approved when no approval process is implemented. The API updates the status of eligible invoices and their related Invoice Line Items to Approved, marks associated Billing Schedule Records and Billing Schedule Details as Invoiced, and updates the billing header roll-up fields for Total Invoice Amount and Total Pending Amount.

Implementation teams can use the following endpoint to approve the invoices:

Approve Credit Memos API

The Approve Credit Memos API enables finance analysts to approve one or multiple credit memos with statuses in Draft or Pending Approved when no approval process is implemented. The API updates the status of eligible credit memos and their line items to Approved, marks related billing schedule records and details as Invoiced, and updates billing header roll-up fields including Total Invoice Amount and Total Pending Amount.

The implementation teams can use the following endpoint to approve credit memos:

CPQ ABO Change Sub-Menu: Increase and Decrease Quantity Operation

The Change > Quantity operation enables sales representatives to increment asset or subscription quantities directly from the cart using the Change sub-menu. This operation supports three scenarios: creating a new asset for the increment, updating the existing asset, or updating the asset with a new start date. Order and billing records reflect these changes, with updates to order line items, asset line items, and billing schedules. This feature is available for CPQ customers.

When quantities are decremented, existing assets, order line items, and billing schedules are updated based on the billing status, including canceling billing records outside the new contract dates. While the Change > Quantity supports decrementing the quantity, the system prevents decrements that result in zero or negative quantities and supports scenarios where the overall quantity remains at least one.

CPQ ABO Change Sub-Menu: Change Configuration for Standalone and Bundle Products

Extend the Change > Configuration operation in CPQ ABO to support standalone products, allowing sales representatives to update configuration attributes or start dates for assets and subscriptions directly from the cart. The system creates a replacement asset and terminates the original asset, reflecting changes in order lines and cascading updates to billing, with support for full cancellations or mid-term changes per the selected scenario.

The same operation is extended to support altering bundle configurations in CPQ ABO carts and orders. Sales representatives can update bundle options and effective dates, resulting in the termination of the original asset and creation of a new or upgraded asset, with order and billing records reflecting these changes. Only scenarios involving configuration changes and/or start date changes are supported at this time.

Credit Memos List View Page

A new Credit Memo List view has been introduced, displaying a comprehensive, paginated grid of credit memos with key details such as name, credit memo date, bill to, credit memo total, business reason, record type, and payment status. From this view, users can efficiently track the lifecycle of each credit memo. An eye icon allows users to preview up to five credit memo line items in a table, with a View All option that navigates to the Credit Memo Line item table under the "Related" tab of Credit Memo Detail page. Users can also click a credit memo link to open it in a separate tab for detailed viewing.

Credit Memo Detail View

A new Credit Memo Detail page has been introduced, offering a single, consolidated view of credit memo information through a three tab layout: Summary, Details, and Related. These tabs present balance information, credit memo breakups, transaction details, and additional credit memo metadata such as customer and revenue details, along with the credit memo line items associated with the credit memo.

A status bar indicating the progress of credit memo’s lifecycle is introduced, where each stage is represented as a labeled chevron. Completed stages display a check mark and are highlighted in light green; the current active stage is filled in dark navy blue.

Rating the Usage Inputs

The users can now utlise the Rating API to rate the usage inputs using the following methods:

  • Rate based on quantity's price (when Dimension Value = Discrete)
  • Rate based on quantity's exact tier price (when Dimension Value = Range)
  • Rate based on fee per tier from the starting tier (when Dimension Value = Cumulative Range)

Rate based on quantity's price (for Dimension Value = Discrete): In this method, each specific quantity (or combination of dimensions) has its own unique price. There is no range or cumulative calculation — only the exact quantities defined in the price matrix are rated.

Rate based on quantity's exact tier price (for Dimension Value = Range): In this method of rating, the system checks the quantity entered for a usage input and determines which price tier (or slab) it falls into. The Rated Amount is calculated based on the price defined for that tier.

Rate based on fee per tier from the starting tier (for Dimension Value = Cumulative Range): This method calculates the rated amount by summing up the charges for each tier up to the total usage quantity, that is, it adds up the charges for all tiers up to the entered quantity, not just the tier where the quantity falls.

Unrate Usage Inputs API

The Unrate Usage Inputs API enables finance analysts to reverse the rating of one or more usage inputs for usage-based subscriptions, validating each input and updating its status to Unrated. The API reverses the rating on usage inputs, nullifies related amounts and quantities on Billing Schedule Records (BSR) and Billing Header (BH), and returns clear success or error messages if the input or billing status does not meet requirements.

Custom Billing Plan Creation with Cart Warnings

Billing users can now create custom billing plans for cart line items even when the cart contains warnings. The system only blocks plan creation if there are errors in the cart, while warnings no longer prevent this action.

Edit and Delete Actions for Custom Plans on Custom Plan UI

Sales representatives can now use Edit and Delete buttons on the Manage Custom Plan from the cart (Product Configuration) page. Edit action is available for a single custom plan at a time, while Delete action supports multiple selections. The UI displays confirmation prompts and validation messages for both actions.

When a custom plan is deleted, is is removed from the transaction, and associated line items revert to standard billing.

Billing Admin Page

The Billing Admin Page in the Conga Advantage Platform now includes a dedicated sub menu for Billing and Invoicing settings, logically organized and presented in a single, unified view. Administrators can update and manage these settings, while other users have read only access. Each setting includes contextual help text and expandable descriptions to improve clarity and ease of understanding.

A/R Transaction Creation for Invoice and Credit Memo

When an Invoice or Credit Memo is created in a Draft status or updated to Approved status, the system automatically generates a related A/R Transaction record. The ending balance from the most recent A/R transaction is then used to update the Due Amount on the corresponding Invoice or Credit Memo. This ensures accurate tracking of liabilities and refunds for finance and billing users.

Hide Superseded Billing Schedule Records

The Hide Superseded Records toggle on the Billing Schedule List view page enables billing analysts to filter out records with Invoice Status = Superseded, displaying only relevant schedule records for invoicing.

Payment Term Population on Billing Schedule Records

The system automatically populates the payment term on the Billing Schedule Records (BSRs) created during a new sale or an Asset-Based Ordering (ABO) operation. It follows a defined hierarchy that considers custom plan line items, orders, order line items, and organizational defaults. This feature ensures accurate payment term assignment for correct invoicing.
