Asset Change Operation

Change Operation allows users to Change asset data by updating the fields. It also has the following two flavors.

Configuration: Change Configuration lets you change the configuration of an Asset. For example, adding or removing options on a Bundle. On the cart, notice that the old asset are displayed as Cancelled, and another copy of the updated asset is added to the cart with status as Upgraded when there is no change in Start Date. But if there is a change in the Start Date, the status is Changed-Config.

Quantity: Increment or decrement the quantity of an asset. For example, if the existing quantity is five and you want the new quantity to be 8, then enter 3. The new quantity is displayed on the panel. You can retain the existing end date, enter a custom date, or use the proposal end date. You also have the option to apply the changed dates to the existing assets.

If you select the "Update Existing Assets" flag, the same asset gets updated with the new quantity, and the status on the cart page is "Incremented and Merged". But if you do not select this flag, a copy of the same asset is created at the end of the cycle with the newly mentioned quantity. The status of this asset on the cart page is displayed as "Incremented".

For any Change action on the asset, net price indicates the price of the asset as seen from the start date to the end date on the cart.

Every change you make to an asset impacts its Billing Schedule. If the asset is usage-based, it also impacts the associated Usage Schedule.

Change operation on assets with ramps is supported when assets have the same start and end dates on both primary and secondary ramps. This is supported in both scenarios, Default Asset Pricing = True / False.

You can now perform Change operations on Service assets, including adding or removing associated equipment items and updating the weightage percentage to 100%. You also see the related line‑item details in the cart and can associate new catalog products with existing services. All other Asset‑Based Ordering (ABO) operations remain available for selected equipment assets and other assets within the same cart.

Changing an Asset

  1. On the Installed Products page, select the asset you want to update and click Change.
    On the cart page, Line Status changes to Amended.
  2. Click the arrow next to the product name to view all the options that belong to the asset. The Line Status for all option items is Existing.
  3. You can change one or more of the following parameters based on the requirement.

    Field

    Description

    Start Date

    The date you want to start billing your customer for this purchase.

    End Date

    The date you want to stop billing your customer for this purchase.

    Asset Quantity

    Enter the number of units of the product your customer wants to purchase.

    Selling Term

    Update the selling term as required.

    Attribute Value

    To change the Attribute value, click the wrench icon () next to the asset. You will see the Product Attributes page.

    Enter the new attribute values and click Go to Pricing to load the cart page.

    Comments (Internal)

    Add appropriate comments if required for internal purposes.

    Renewal Adjustment Type

    To adjust the price of the asset, choose from % Uplift and Uplift Amount.

    Renewal Adjustment Amount

    Enter a value that is the amount your customer is charged for the product without accounting for taxes and other charges.

    Is Asset Pricing

    If the check box is selected, then it is asset pricing, else the price is coming from the price list. Modify as required.

    Summary Group

    Review the summary group details.

    Auto Renew

    If the check box is selected, then the asset is auto renewed, else renewal is manual. Modify as required.

    Allow Manual Adjustment

    If the check box is selected, then manual adjustment to the price is allowed. Modify as required.

    Location

    Modify the location if required.

    Is Optional

    Select to indicate the asset is optional.

    Auto Renewal Type

    Select the renewal type from the drop-down.

    Auto Renew

    Select to auto renew the asset.

  4. Click Reprice.
  5. Click Finalize to finalize the cart and go back to the Quote.
    An email notification is sent specifying the next steps.

Changing Configuration of an Asset

As a Sales rep, you can update the start and end date of standalone and bundle assets using the Change:Configuration operation. Change Configuration also lets you change the configuration of an Asset. For example, adding or removing options on a Bundle.

On the cart, notice that the old asset are displayed as Cancelled, and another copy of the updated asset is added to the cart with status as Upgraded when there is no change in Start Date. But if there is a change in the Start Date, the status is Changed-Config.

  1. On the Installed Products page, select the check box for the asset you want to update, click the arrow next to Change, select Configure
  2. The existing start and end dates are displayed. Modify the dates as required and click Save.
  3. Click Validate to validate the date change and the corresponding price change.
  4. Click Update Pricing.
  5. Click Go to Pricing to go to the cart page.
    • Existing asset: The start and end dates of the existing asset are changed. The line item is in Changed Configuration status.
    • Modified asset: The modified line item with new start and end dates is in Upgraded status.
  6. Modify other attributes for the changed line items if required and click Reprice. You can now finalize your cart.

Changing Quantity of an Asset

As a Sales Representative, you can increase or decrease the quantity of an asset. You can sell the incremental or decremented quantity at the same price point as the original sale or at a different price point. During the sale of these licenses, you can co-terminate them with the existing licenses.
You have the following options for cotermination:
  • Enter Custom Date
  • Use the Proposal End Date
  • Retain the current Asset End Date

When you increase the quantity, you have the option to select the Update Existing Assets checkbox. If selected, on order activation, the incremental quantity updates into the existing asset. Line status is changed to Incremented and Merged. The quantity increment is displayed under the Delta Quantity column.

If you do not select this checkbox, on order activation, a new asset with the same name as the existing asset is created. Line status is changed to Incremented. There are two assets with the same name, one with the original quantity and the other with the increment quantity. However, the Total Quantity column indicates the cumulative quantity, that is, the original quantity plus increment quantity.

  1. On the Installed Products page page, select the asset you want to update, click the arrow next to Change, and click Quantity.
  2. Review the existing configuration in Standard Price section.
  3. Click the + or - icon in the Change quantity by field to modify the quantity.
  4. Select a cotermination option from the Cotermination drop-down list.
  5. Select the Update Existing Assets checkbox to enable these quantity changes to reflect in the existing asset.
  6. Review the changed quantity in the New Quantity field.
  7. Review or edit the start and end date based on your selection in step 4.
  8. Click Go to Pricing to go to the cart page.
    • Existing asset: The start and end dates of the existing asset are changed. The line item has a Changed Configuration status.
    • Modified asset: The modified line item with new start and end dates has Upgraded status.
  9. Modify other attributes for the changed line items if required and click Reprice. You can now finalize your cart.
