Importing Line Items

  • You must have access to the Quote Details page.
  • The Excel file must follow the supported import template.

The Import Line Items feature allows you to upload data in bulk using Microsoft Excel files, including blank fields, null values, and multi-picklist values. Whe you upload, the system validates your data and provides an error template for any mismatches. This feature is useful for generating your quotes or agreements with large datasets from spreadsheets effectively.

To import line items, prepare a CSV, XLS, or XLSX file. The system validates the file, import valid items, and create a cart if necessary. Existing line items not included in the import file are remain unchanged. The importing feature does not work on read-only carts, and import process gets stops if any validation errors occurs. After the import, cart totals, pricing, and rules are recalculated. The import action is recorded in the activity history, including the time stamp, user, and action details.
Note:
  • Only CSV, XLS, and XLSX formats are supported.
  • Each record must be on a new line in CSV files; avoid line breaks inside fields.
  • Use a comma ( , ) to separate values in Multi-Picklist fields.
  • Date format: YYYY-MM-DD (for example, 2025-10-29).
  • Up to 1,000 records: Import directly from your computer or a Quote file.
  • More than 1,000 records: Use the Quote file option for automatic background processing
  1. Login to Salesforce application menu.
  2. Navigate to Proposals tab, and click required quote from the list.
  3. On the quote or agreement detail page, click Import Line Items. The Import Cart Line Items action is available based on your quote page settings.
    The Import Line Items popup window is displayed.
  4. Select the required mapping file form Line Item Import Mapping dropdown.
  5. Select the source file for import.
    • In the Import Line Items popup window, select one of the following to upload a file:
      1. From local device: Browse and select a CSV, XLS, or XLSX file from your computer.
      2. From record files: Select a CSV, XLS, or XLSX file that has already been uploaded to the quote or agreement (for example, from Salesforce Files associated with the record).
  6. Review and confirm import details.
    • The system will validate the selected file against the required line item fields and data types as per your CPQ configuration.
    • The import preview will display the number of line items ready for import into the cart.
    • If any required fields are missing, invalid, or contain incompatible data types, the import will fail validation, and an error message will describe the issues. Correct the file and restart the import if necessary.
    • Once validation is successful and the line items appear correct, confirm your intention to proceed with the import.
  7. Process the import and wait for completion.
    • The system imports the validated line items into the cart associated with the current quote or agreement.
    • If no cart exists yet, a new cart is created automatically and the imported line items are added to it.
    • If the cart is read-only, the import is blocked and an error message indicates that the operation cannot be completed.
    • When imports are processed asynchronously for large files, wait for the completion message or notification before launching the cart.
  8. Review line items in the cart.
    • Launch the cart from the quote or agreement.
    • Verify that all imported line items appear as expected.
    • Confirm that existing line items that were not present in the import file are still present and unchanged.
    • Check that cart totals, pricing, and rules have been recalculated based on the imported data.
  9. Verify the activity history.
    • On the quote or agreement record, open the activity or history section.
    • Confirm that an entry for the import is recorded, including the action name (import), the user who performed the import, and the time stamp.
The line items from the Excel file are added to the quote. If errors occur, the import fails for the affected rows and details are provided in the error template.
  • Correct any reported errors in the Excel file.
  • Re-upload the file, if required.
