Use Case: Renewing Bundle Assets

This use case provides an example of how to renew a bundle asset that includes options with different charge types and validity periods

Overview

Renewing a bundle asset is more complex than renewing a standalone asset because each option within the bundle may have its own selling term, charge type, and end date. When a bundle asset is renewed, Conga CPQ must independently calculate the new start and end dates for the bundle and each of its options, based on their respective terms, not the bundle's overall end date.

This use case describes how Conga CPQ renews a bundle asset that includes options with different charge types and validity periods. It covers the asset state before renewal, how CPQ derives the new start and end dates for the bundle and its options, and the resulting asset state after renewal.

Business Context

A bundle asset with three charge types has one option, Option1: configured with two different charge types on the cart: one with 6 months of validity and another with 3 months of validity. The cart is finalized, an order is generated, and the asset line items are available on the Quote/Proposal or from the Account page.

The bundle and its options have different end dates because their charge types carry different selling terms. When the bundle is due for renewal, CPQ must calculate new start and end dates independently for each line, the bundle, Option1 with its standard charge type, and Option1 with its different charge type, based on each line's own current end date and selling term.

The renewal option applied in this use case is Retain Asset End Date. Under this option, the new Asset End Date is derived by adding the selling term to the new Asset Start Date.

Actors and Roles
  • Sales Representative / Account Executive – Initiates the renewal from the Installed Products page and confirms the cart to complete the renewal.
  • Conga CPQ System – Independently calculates the new start and end dates for the bundle and each option based on their respective selling terms and the selected renewal option.
Prerequisites
  • The bundle asset and its options are active with an Asset Status of Activated on the Installed Products page.
  • The cart has been finalized and an order has been generated for the original sale.
  • Asset line items for the bundle and all options are visible on the Quote/Proposal or from the Account page.
  • The renewal option is set to Retain Asset End Date on the asset or price list configuration.
  • Required options must remain selected on the Configuration page; deselecting them triggers an error and CPQ reselects them after pricing calculation.

Scenario Walkthrough

Step 1 - New Sale

A bundle asset with three charge types is purchased. Option1 is configured on the cart with two different charge types, one with 6 months of validity and another with 3 months of validity. The cart is finalized, an order is generated, and the asset line items are available on the Quote/Proposal or from the Account page. The active bundle and option assets have the following start and end dates:

Asset

Start Date

End Date

ABO Bundle1_AS

07/26/2016

07/25/2017

Option1

07/26/2016

01/25/2017

Option1 (Different Charge Type)

07/26/2016

10/25/2016

Note: If you deselect required options on the Configuration page, CPQ displays an error message and reselects the options after the pricing calculation is complete.

Step 2 – Initiating the Renewal

When the bundle asset is due for renewal, the Asset Status on the Installed Products page changes to Pending Renewal. The account executive selects the asset for renewal and proceeds to the cart. Once the renewal is confirmed on the cart, the status changes to Renewed and CPQ applies the Retain Asset End Date renewal option to derive new dates for the bundle and each option independently.

Step 3 – Deriving Start and End Dates

For renewal transactions, CPQ always sets the new Asset Start Date for each line to its current Asset End Date plus one day. Under the Retain Asset End Date renewal option, the new Asset End Date for each line is derived by adding that line's selling term to its new start date.

Because the bundle and each option have different end dates and selling terms, CPQ calculates their renewed dates independently. The renewed bundle and option assets have the following dates:

Asset

Start Date

End Date

ABO Bundle1_AS

07/26/2017

07/25/2018

Option1

01/26/2017

07/25/2017

Option1 (Different Charge Type)

10/26/2016

01/25/2017

Each line's new start date is derived from its own previous end date, not the bundle's end date. This ensures that options with shorter selling terms are renewed at the correct intervals, independent of the parent bundle's renewal cycle.

Key points to note:
  • CPQ sets the new Asset Start Date for each line, bundle and options, to that line's current Asset End Date plus one day.
  • Under the Retain Asset End Date renewal option, CPQ adds each line's selling term to its new start date to derive its new end date.
  • The Asset Status changes from Pending Renewal to Renewed once the cart is confirmed.
  • All charge types associated with the bundle and its options are carried forward into the renewed asset without modification.
  • CPQ ensures required options remain selected throughout the renewal process. If an option is deselected on the Configuration page, CPQ displays an error and reselects it after pricing calculation.
