Refreshing Clauses in a Template

Refresh feature in FX2 format provides the ability for the user to recognize and update any related templates which are affected by a nested clause template’s changes. Refreshing a template brings all lower changed template contents into the current template document, and Auto Publishing batch process allows publishing of all higher-level templates related to the current template document.

If we assume the example of an agreement main template which contains a 1st level clause template, which in turn contains an inserted or nested 2nd level clause template, changes can be made to templates at any of these three levels.

  • A change to the 2nd level template will have an impact on both the 1st level clause template and the main agreement template.
  • If you check out the 1st level clause template and then check it back in, the system allows you to refresh this 1st level clause template’s contents. You can achieve this by updating the 2nd level clause template’s changed content directly in the 1st level clause template before check-in.
  • You can also view the affected parent clause or main agreement template records in Salesforce. So for the 1st level clause template at check-in, you can use the Auto Publishing feature to publish all of the main agreement templates which are affected by the changes to the 1st level clause template.

The Auto Publishing feature updates all higher level parent clause templates as well as the main agreement template affected by the changes in a 2nd or lower level child templates. The net effect of using both the Refresh and Auto Publishing features is that document generation uses the current template contents and hence, document generation becomes faster.

Prerequisites

  • You must have previously changed a 2nd level clause template.
  • You must have a 1st level clause template containing a second level clause template where the content of the child clause has been changed.

To refresh clauses in a template

  1. Open the first level clause template and click Check-in.
You'll see the following pop-up message.

You can click the URL in the pop-up message to go the corresponding record in Salesforce within the Apttus Contract Management (CM) application.

  2. Click OK to update your template. The content of your 1st level clause template associated with the 2nd level clause’s changed content is refreshed or updated. The check-in page dialogue is also updated because this changed 1st level clause template is used in one or more main agreement templates which should now be published to contain the changed clause templates’ contents.
  3. On the check-in page select the checkbox Publish all clauses and agreement templates affected by this clause template's change, to publish all the affecting templates. If you do not want to publish the parent or main agreement, leave this checkbox cleared.
    • If you select this checkbox you'll see this link— Click here to view the list of affected templates and clauses. Click this URL to view a list of the affected parent and/or main agreement templates in the Apttus Contract Management application.
  4. Click Check-in.
You'll see a pop-up dialog box saying that your clause template is successfully checked in, but that the referenced templates should be published.

Click OK to submit the apex batch job for publishing the related template. You'll see a progress bar showing the progress of the publish batch job.

Finally, when the batch has been successfully published, the progress and status is updated with the related batch completion data.

Note: Performing Refresh/ Publish action in a template shifts the header/ footer clause content to the main clause content.
