This option publishes a business object's main template from the top down, going through each layer of the clause and nested child clauses to ensure that all of the current clause contents are being used when the main template is used to generate documents.

For example, when changes are made to clauses that are added to different templates, we must ensure that these templates contain the latest updated clauses before using them to generate a document. Using the Publish Template option, we can select the templates that must be updated before publishing.

Before these templates are used to generate a document, we need to make sure that these templates contain the latest updated clauses. Using this Publish Template option, we can now select the templates that need to be updated before publishing. 

To publish a template

  1. Open Microsoft Word and log in to X-Author for Contracts Advanced.
  2. From the Contracts pane, click the Home button () and select Templates.
  3. Open the template to publish (see Opening Templates). Go to the Work tab, click the Dropdown icon () and select Publish Template. This opens the Publish Template screen as a separate CLM web page. 
  4. Enter the user name and credentials. The User Name is the same as the X-Author for Contracts User Name. The User Credentials is the X-Author for Contracts Advanced Password appended with the Refresh Token. 

    To get a refresh token:

    1. Open the Publish Template web page in a separate browser tab. Append the following text to the URL:   "/_ui/system/security/ResetApiTokenEditretURL=%2Fui%2Fsetup%2FSetup%3Fsetupid%3DPersonalInfo&setupid=ResetApiToken"
    2. The Reset My Security Token page is displayed. Click Reset Security Token
    3. You will receive the security token in your email. 
  5. After you enter the login details, the Publish Template dialog box opens.
  6. the templates that require publishing are displayed.. Select the checkbox adjacent to the template that you would like to publish and click Publish.
    or
    1. Select the checkbox adjacent to the Name column of the templates to select all the templates and click Publish.
  7. The list of templates selected for publication are listed under Batch Jobs menu. You can also see the status of the templates being published. 
  8. Click Refresh Data to refresh the status of the templates being processed for publishing. 
  9. After the templates are published, you will receive an email notification detailing the batch files that were processed.
