Dynamic Tables

Information coming from the Spreadsheet Grids is used in almost every commercial document to summarize the products and prices that have been agreed upon with the customers. To insert them dynamically in the Generated Document the user will benefit from the Add Table Function.

How to Insert a Table

The insertion of the table is done in a new paragraph after the cursor position. To create a table, the user must follow this process:

1Place the cursor in the Word document where the table should be inserted. In the add-in on the Home tab, click on the + next to the Table menu.
2Select the data context for the table by choosing a component in the drop-down list. The Data Context is either: View/Component: User can choose a View/Component Parent source: If Table is placed in a parent iteration the user can use parent Data Context Useful Tip: Type text in the drop-down lists to filter the results.
3Select the columns that will be displayed in the table. The set of columns available is limited to the columns corresponding to the chosen data context. Useful Tip: Use the filter to search through the columns.
4Click on the ADD TABLE button Users must have selected at least one column to be able to click on the ADD TABLE button.
5The table appears in the Word document. The add-in displays the edit mode for the table. Newly created tables have by default three rows: The header line fulfilled with columns name The default line fulfilled with column tags The footer line, totally empty The table has as much columns as the user selected. The table has no formatting at this point. Important A table is always closely preceded by his tag, if not the template of the table can’t work. The user must not modify the Word table structure (add/delete/reorder rows and columns) in Word itself. They must use the add-in panel to manipulate columns and lines.
6The user can edit the name of the columns manually if needed.

How to Edit a Table

Once a table is created, place the cursor inside the related Word Table in the document to open the Edit table screen in the add-in. The edit table component allows the user to:

  • Modify table properties
  • Access four different tabs in the sub-navigation menu:
    • Filters: Add and remove the filtering conditions of the table
    • Lines: Add, remove, reorder the table lines for formatting purpose
    • Columns: Add, remove and reorder the table columns
    • " + ": allows to access a list of available actions depending on where the caret is placed

TABLE PROPERTIES

In the upper part of the add-in panel, the user can see the table properties.

Once the edits have been made the user must click on the button to save the changes. If the user needs to cancel and not save the changes they must click on

FILTER TAB

The Filter tab enables the user to narrow down the data that will fill the table in the Generated Document depending on conditions.

2Click + Add condition to create a new filter condition. The user can set a single condition or a combination of multiple conditions. More information on conditions can be found here: Conditions
3Set the condition by choosing: the column data tag that will be used to filter the operator the value

5Once the edits have been made the user must click on the

Line Tab

The line tab enables the user to:

-Set different formatting on table lines.

If nothing has been set up in the line tab, all the lines of the grid will be displayed with the style of the default line. - Reorder the lines (except the header and footer lines).

FORMATTING LINES

1On the Line tab, click on + Add new line
2A new line has been added in the list of lines in the add-in panel as well as in the Word document table. The order of the lines in the add-in panel matches the order of the lines on the Word document table.
3It's now time to set the condition for this line. First we need to edit it.
4The user is able to change the name of the line. They must then click on + Add condition to create a new formatting condition. The user can set a single condition or a combination of multiple conditions. More information on conditions can be found here: Conditions Each the condition is met, the formatting of this line will be applied. Except the default line, each line must have a display condition.
5For example, let's format the lines that represent folder types differently.
6Once this is done, the formatting for this newly created line happens in the Word document table. Folder lines do not require value for Quantity, Discount, Net Price and List Price, let's remove the corresponding tags manually in the folder line. Folder lines should be recognizable with a bolder and bigger font and a colored-background. Important Note that all standard operations that can be performed in Word can be used in the formatting process: change font size and color change background color indent the text set alignment rules (right, left, center - top, bottom, middle) and much more...
7The rest of the table can be also formatted to match the desired style on the Generated Document.

The user can add as many lines as they need in the table, and they can delete the line using the button (except for the default line).

REORDERING LINES

When handling many different lines, it can be useful for the user to use the reorder button. The default line can not be reordered.



To reorder, the user will use the up and down arrows. When saving with this button the Word document table will be refreshed with the new order of lines.

Column Tab

The Column tab enables the user to:

  • Reorder the columns
  • Add columns in the table
  • Delete columns

These actions must not be performed in the Word document table directly as it will break the table model and associated metadata.

REORDERING COLUMNS

The Column tabs display the list of columns. The user can reorder the column if needed. To do so they must click on the button.

The user will use the right and left arrows to move columns. The Word document table will only be refreshed upon saving with the designated button

ADDING COLUMNS

1The user can add one or multiple columns to the table. The added column can be empty or pre-filled with data column tag. The added column is always placed at the end of the table.
2The user can choose in the list of columns which should be added. All available columns are the one referenced in the table data source.
3The user can also choose to add an empty column
4Then they must click on the ADD COLUMN button
5The column appears in the Word document table.

DELETING COLUMNS

The user can delete a column using the button unless there is only one column left. In that case, the user should use the delete table function.

+ Tab

Anytime during the creation of a table, the user can navigate to the + tab. The user will be presented with the available actions:

  • ADD TAG

    allowing the user to add a Field or a Column tag

  • ADD IMAGE

    allowing the user to add a Dynamic Image tag

If the user selects a tag in the table, the corresponding edit interface will appear in the add-in panel allowing to change the formatting of this specific tag.

How to Delete a Table

To delete a table the user can:

  • delete the whole table from the Begin tag to the End tag on the Word document side.
  • click on the delete button in the Edit table panel

Limitations

  • Tables tags cannot be placed in the header, the footer, or the properties of the Word document.
  • A table can’t be inserted in a parent table.
