From the Playbook, you can insert clauses into agreements. These clauses can contain lookup merge fields and header level smart fields and the value of those fields are populated with the values from the associated Salesforce object record.

Agreement header level fields can be inserted as smart fields. Lookup merge fields are also supported. However, related lists, child object fields, repeating data sets, and conditional content are not supported.

When you insert an agreement clause into a document, it is only valid for that specific agreement document. If you regenerate the agreement, a new document - without the inserted clause - is created.

Prerequisites

  • You must have generated an agreement document and have clause templates with merge and/or smart fields available.

To insert clauses

  1. Open the document and from the X-Author Contracts tab and click Playbook.
  2. Search for a clause type template and click Insert to insert the clause content into the document.

The inserted clause appears redlined in the agreement document if the agreement's protection level is set to Insert Comments and Track Changes.

  • If you add a clause with both conditional logic and merge fields into a newly generated document, the clause will not be evaluated properly.
  • When you insert a nested clause in an agreement document with protection level is set to Insert Comments and Track Changes, the document shows incomplete redlining of the nested clause. This is a Microsoft Word limitation.

Fields that can be resolved with values from the agreement record are displayed with those values. For those fields that do not have a value, nothing is displayed. If a field does not exist on the agreement record the merge/smart field formula code is displayed. If any changes are made to the values of the fields, you must reconcile them to have the agreement record fields updated accordingly.

When you insert a clause into a generated agreement from the playbook that has a nested clause, the system treats the main clause as a master clause. The nesting is removed and insert the clause with only a single content control.

Behavior and Recommendations

  • When you insert a clause inside a Microsoft Word table, you must add a single line space before and after the clause. 
  • You must not insert a clause containing a repeat section or repeat table in an agreement document. If you do so, the values of the repeat section or table are not resolved properly in the agreement document.
  • When you insert a smart clause that contains a Microsoft Word table, an error message is displayed. To prevent this error, you must insert a single line space before and after a table. 
  • While inserting a clause in an agreement template under a numbered or sub-numbered list, you must consider the following:

    • If the clause ends with numbering, sub-numbering, or bullets, insert one line space at the end of the clause.
    • You must not insert one line space at the end of the clause if the clause does not contain numbering.
