Migrating a Workflow Rule to Flow

As Salesforce is starting the process of moving away from Workflow Rules and transitioning to Flow, Conga recommends you temporarily migrate Workflow Rules in CPQ to Flow.

You must migrate the following Workflow Rules to Flow.

  • Set Original Order Line Number
  • Set Original Order Number
  • Search Field Update
  • Set Incentive Code
  • Set Incentive Number

To migrate Workflow Rule to Flow using the Salesforce Migration Tool

Salesforce introduced a new migration tool for the hassle-free migration of all your workflows to flows.

  1. Navigate to the Workflow Rules.
    • Salesforce Classic users, Setup > Create > Workflow & Approvals > Workflow Rules.
    • Salesforce Lightning Users, Setup > Platform Tools > Process Automation > Workflow Rules.

Click Continue on the Understanding Workflow page. A list of workflow rules is displayed.

  2. Click Migrate your workflow rules to flows. A Migrate to Flow page is displayed with a list of workflow rules.

  3. Click the radio button to select the workflow rule that you want to migrate.
  4. Click Migrate to Flow. This action automatically deactivates the workflow rule and activates the flow in your system.
  5. To identify the custom flows in CPQ, Conga recommends you add Custom as a prefix to the custom flow name. For example, Custom Set Incentive Code.
Note:
  • Ensure that the workflow rule is deactivated successfully. To verify whether the Active checkbox is unchecked for the migrated workflow rule,
    • Salesforce Classic users, Setup > Create > Workflow & Approvals > Workflow Rules.
    • Salesforce Lighting Users, Setup > Platform Tools > Process Automation > Workflow Rules.

Configuring the Flows

To ensure that the flow operates similarly to the workflow rule, complete the following configuration steps for the migrated flows.

  1. Navigate to the Flows.
    • Salesforce Classic users, Setup > Create > Workflow & Approvals > Flows.
    • Salesforce Lightning Users, Setup > Platform Tools > Process Automation > Flows.
  2. Click the flow name. A Flow Builder page is displayed.

  3. Click Edit beside the Object Name. A Configure Start popup window is displayed.
  4. In the Optimize the Flow for: section, select Actions and Related Records and click Done.
  5. Click Save As and Save.

The changes are saved as a new version.
