Using the Charting Portlet

Charting is a special portlet that allows you to generate a color-coded illustration, representing one or more elements of the contract, company, or project data stored in Conga Contracts. You must first create a search query and apply filters so that only the desired data is displayed, and then select the type of chart that best represents the filtered data.

You must first create a search query and apply filters so that only the desired data is displayed, and then select the type of chart that best represents the filtered data.

There are three options for displaying information in the Charting portlet: Pie Chart, Bar Chart, and Time Line.

Generating a Pie Chart

A pie chart can be used when you want to visually represent data as a percentage or proportion. The data in a pie chart is determined by the field(s) you select to be represented in the chart, which is then filtered by a saved search query that you created, or a global search shared by another user.

A pie chart is created to show the breakdown of companies by company type. An existing search query of companies, filtered by customers, suppliers, and distributors, is used to provide data for the chart.

  1. In the Dashboard, click Add Portlet.
  2. In the Add Portlet window, scroll down to Charting, and click its +Add button.
  3. Populate the portlet:
    • In the Charting header, click the gear icon.
    • In the Chart Design window:
    • Enter a name for the chart in the Chart Name field.
    • Select Pie Chart in the Chart Type list.
    • Locate the saved search you want to use in the Search Query Filter list, and click it to select it.
      • Click the downward arrow in the field to display the list.
    • Click in the X-Axis or Group By Field list to display a hierarchy of fields.
      • Drill down to locate the field whose data you want represented in the chart, and click it to select it.
    • (Optional) Click in the Y-Axis Field list to display a hierarchy of fields. Drill down to locate the field whose data you also want represented in the chart, and click it to select it
    • Click OK
  4. (Optional) Reposition and resize the portlet.
  5. (Optional) Use the ^ and v toggle icons to collapse and expand the portlet, and the X icon to remove the portlet from the Dashboard.
    Tip:

    If you use only one variable in your pie chart, the call-out sections of the pie will show the calculated total for each section of the pie based on the variable you selected in the X-Axis or Group By Field. If you use more than one variable by making a selection in the Y-Axis Field and then selecting the Aggregate option, the call-out sections of the pie will display only the calculation for the Y-Axis Field.

Generating a Bar Chart

A bar chart is a common way to visually display comparisons between categories of data. The data in the bar chart is determined by the fields you select to be represented in the chart, which is then filtered by a saved search query that you created, or a global search shared by another user.

A bar chart is created to show contract values by their status. An existing search query of contracts, filtered by status (Active, Inactive, or In Process) is used to provide data for the chart. A second filter is applied to the query to ensure the Contract Value field is populated, thereby excluding any Non-Disclosure Agreements or other contracts that have no assigned value.

  1. 1. In the Dashboard, click Add Portlet.
  2. In the Add Portlet window, scroll down to Charting, and click its + Add button.
  3. Populate the portlet:

  8. Locate the saved search in the Search Query Filter list, and click it to select it.

  10. Click in the X-Axis or Group By Field to display a hierarchy of fields.
  11. Drill down to locate the field whose data you want represented along the horizontal axis of the chart, and click it to select it.
  12. Click in the Y-Axis to display a hierarchy of fields.
  13. Drill down to locate the field whose data you want represented along the vertical axis of the chart, and click it to select it.
  14. Select an Aggregate Option for the bar chart:
  15. Select the Sum or Average radio button to display data as a total or an average of the total.
  16. Select the Min or Max radio button to display only the high end and low end of the data.
  17. Click OK.
  18. (Optional) Reposition and resize the portlet.
  19. (Optional) Use the ^ and v toggle icons to collapse and expand the portlet, and the X icon to remove the portlet from the Dashboard.

Generating a Time Line

A time line is a chart that tracks data or resources over a specific time period. The data in the time line is determined by the fields you select to be represented in the chart, which is then filtered by a saved search query that you created, or a global search shared by another user.

A time line chart is created to show the monthly valuation of contracts that are expiring in the current year. An existing search query of contracts, filtered by those with an Active status and a value that is greater than zero, is used to provide data for the chart.

  1. In the Dashboard, click Add Portlet.
  2. In the Add Portlet window, scroll down to Charting, and click its +Add button.
  3. Populate the portlet:
    • In the Charting header, click the gear icon.
    • In the Chart Design window:
    • Enter a name for the chart in the Chart Name field.
    • Select Time Line Chart in the Chart Type list.
    • Locate the saved search in the Search Query Filter list, and click it to select it.
      • Click the downward arrow in the field to display the list.
    • Click in the X-Axis or Group By Field to display a hierarchy of fields.
      • Drill down to locate the field whose data you want represented along the horizontal axis of the chart, and click it to select it.
    • Click in the Y-Axis to display a hierarchy of fields.
      • Drill down to locate the field whose data you want represented along the vertical axis of the chart, and click it to select it.
    • Set the Date Options for the time line:
      • Click the calendar icon in the Start field and select the beginning date.
      • Click the calendar icon in the End field and select the ending date.
    • Select the Day, Month, or Year radio button in Date Group Options to set the timeframe used to group the data.
    • Select an Aggregate Option for the time line:
      • Select the Sum or Average radio button to display data as a total or an average of the total.
      • Select the Min or Max radio button to display only the high end and low end of the data.
      • Select the None radio button to exclude aggregation. This option is available only if Day is selected as the Date Group Option.
    • Click OK.
  4. (Optional) Reposition and resize the portlet.
  5. (Optional) Use the ^ and v toggle icons to collapse and expand the portlet, and the X icon to remove the portlet from the Dashboard.
