Configuring OCC Access Modes and Sharing Settings
Only the Editing UI mode is available in Conga CLM (Contracts for Salesforce).
Organizations have different personas involved in different stages of contract negotiation. Each of these personas performs different actions during the contract review or negotiation process. You can assign OCC access mode to a user profile based on the actions users must take in OCC. You must create a user profile for the OCC access mode and then assign an access mode to the user profile.
You can also configure sharing settings to assign access to an agreement object. Sharing settings take precedence over the access modes in OCC. If you configure both access modes and sharing settings, users will have access according to the sharing settings. If you assign read-only access in sharing settings to an agreement object, users can open the document in read-only mode irrespective of the access mode. A user can open a document in read-only mode if the document is being edited or viewed by another user, irrespective of the sharing settings and access mode. If you configure multiple access modes for one user profile, users will have access according to the latest access mode configured.

Prerequisite
Ensure you have configured the OCCProfileLevelSettingsRestService apex class. For more information, see Upgrading OCC.
To setup agreement sharing rules
- Go to Setup > Security > Sharing Settings.
- In the Agreement (Installed Package: Apttus Contract Management) Sharing Rules section, click New.
- Configure the sharing setting (read-only or read/write access) for an agreement record to satisfy your requirements.

To create a user profile for OCC Access Mode
- Navigate to Setup > Objects and Fields.
- Click Object Manager.
Object manager window opens. - In the Label column, click OCC Access Modes.

- In the Field Label column, click Profile Name.

- Click New.
Add picklist value profile name window opens. Enter a user profile name (case sensitive) available in Conga CLM. For more information, see Managing User Profile.
- Click Save.
To assign an OCC access mode to a user profile
- Navigate to Apttus Contract Management (Lightening) Home page.
- Click on the top left corner.
Apps search window opens. - In the search box, type OCC Access Modes.
Two search results will display. - Click OCC Access Modes.
The OCC Access Modes tab gets added to Navbar and the OCC Access Modes window opens. - Click New.
The New OCC Access Mode window opens. - From the Profile Name dropdown, select a user profile.
From the Access Mode dropdown, select an access mode.
If you select Edit or Negotiate Plus OCC access mode, you can see the Settings option. You can use the Settings option to configure publish options for users. For more information, see Configuring Publish Options.
You can enable the cancel clause approval setting for existing users and disable it for new users having Edit, Negotiate, and Negotiate plus user profiles in the OCC access mode. For more information, see Enabling Cancel Clause Approval Request.
You can enable the ad hoc approval setting for existing users and disable it for new users having Edit, Negotiate, and Negotiate plus user profiles in the OCC access mode. For more information, see Enabling Ad Hoc Approval Setting.
- Click Save.
To edit an OCC access mode already assigned to a user profile
- Navigate to the OCC Access Modes tab.
- You can see the list of users under Recent OCC Access Modes.
- Click the user for whom you want to edit the OCC access mode.
Click Edit.
The OCC Access Mode window opens, showing the user profile name, access mode, and settings.If you select Edit or Negotiate Plus OCC access mode, you can see the Settings option. You can use the Settings option to configure publish options for users. For more information, see Configuring Publish Options.

- From the Access Mode dropdown, select the new access mode that you want to assign to the user and corresponding publish options. For more information, see Configuring Publish Options.
- Click Save.
To assign comments only access in OCC:
- When document versioning is enabled, a user must have the following permissions to add comments:
- Read-only permission for the agreement object.
- Read and Write permission for the document version object.
- When document versioning is disabled, a user must have the following permissions to add comments:
- Read and Write permission for the agreement object.
